The Lymphatic Nurse – Terms of Business
1. Health Information & Initial Consultation
1.1. When working with ‘The Lymphatic Nurse’ it is a requirement that a full medical history is collected during the initial consultation, before treatment begins, from all clients seeking Decongestive Lymphatic Therapy. For other treatments, a basic medical history will need to be provided. Further assessment or clearance by a Medical Specialist or GP may required, after consultation and prior to commencing treatment. This is to ensure the correct therapy/treatment can be offered, and to maintain the safety of the Client. We strongly recommend that you bring along any relevant test results or medical letters to your initial appointment, so that we are able to assess your health status and ensure a suitable care plan can be discussed and implemented. Depending on the information gathered in the initial appointment, and whether further tests or medical clearances are required, this first appointment may be Consultation only, with treatment commencing at the subsequent appointment.
1.2. Please contact The Lymphatic Nurse prior to booking or attending an appointment if you have any illness/condition that may affect suitability for treatment, including any infectious skin conditions / infectious illnesses, or any recent medical/surgical interventions or vaccinations within the last 4 weeks.
1.3. Clients agree to inform their Therapist/Practitioner of any changes to their health status after this initial medical history has been gathered.
1.4. Clients acknowledge that the treating Therapist/Practitioner cannot foresee any medical conditions or contraindications if a full and accurate medical history has not been disclosed, and understand that they may be putting themselves at risk in not providing this information. By booking a Consultation or treatment, Clients agree to accurately disclose a full and accurate medical history where required, and not withhold relevant information or provide misleading information.
1.5. Clients also agree to notify The Lymphatic Nurse of any additional health updates or relevant test results that may impact their treatment plan.
1.6 If a client refuses to disclose relevant health information, The Lymphatic Nurse reserves the right to cancel the appointment without notice. If this is within 24 hours of the scheduled appointment, the Cancellation Policy Terms as per section 4 will apply.
2. Privacy
2.1. All personal health information collected will be kept confidential unless disclosure is required by law.
2.2. The Lymphatic Nurse complies with all government legislation and professional policies regarding the collection, storage, and handling of health information.
2.3. We may at times need to contact your GP, Medical Specialist or Allied Health Team, to discuss your suitability for treatment and work with your wider medical team to ensure appropriate services can be delivered, safely. Where this is necessary, only relevant information will be shared and discussed, and we will inform you of our intentions and reasons for communicating with external healthcare providers. Should you have any objections to this, you should inform The Lymphatic Nurse. Please note this may prevent certain services or treatments being available to you, for safety reasons.
3. Arrival
3.1. Clients are asked to arrive on time and not arrive early for their appointment, as the Practitioner may be busy with another client.
3.2. Clients are requested to park on the street at the front of the property.
3.3. The clinic is located on the ground floor with no steps to access the building, however if you have any specific mobility requirements or questions regarding access suitability or support, you should contact the clinic prior to booking the appointment to discuss.
4. Cancellation Policy
4.1. Clients must provide at least 24 hours’ notice to cancel or reschedule an appointment.
4.2. Late Cancellations (Less than 24 Hours’ Notice): Clients who cancel within 24 hours of their appointment time will be charged 100% of the total appointment fee.
4.3. No-Shows to appointments will be charged 100% of the total appointment fee and will be required to pay up front for all future bookings.
4.5. Late Arrivals:
If a client arrives late, their appointment may be shortened to accommodate the next booking. It may not be possible to complete the intended treatment/therapy.
Full payment for the intended appointment time will remain payable.
5. Payments
5.1. First appointments require payment at time of booking to secure the appointment time.
5.2. Payment Options
• Direct Bank Transfer: Payment is due at the time of booking.
• Cash Payment: Due on the day of the appointment. Correct amount will need to be given.
• Credit/Debit Card Payments: Subject to applicable ‘Square’ processing fees.
5.3. Merchant processing fees may be charged and are controlled by the payment company. These are subject to change outside of The Lymphatic Nurse’s control.
5.4. Payment Processing Fees are currently:
Online payments via Square: 2.2% of the transaction amount.
In-person payments via Square: 1.6% of the transaction amount.
Direct Bank Transfer & Cash Payments: No additional fees.
6. Gift Certificates
6.1. Gift certificates:
• Are non-refundable and not redeemable for cash.
• Are invalid after the expiration period.
• Can only be used by the person named on the certificate at the time of purchase.
• Clients must inform The Lymphatic Nurse at the time of booking if they are redeeming a gift certificate.
• Cancellation policy applies: If a client cancels within 24 hours of the scheduled appointment time or does not show up, the gift certificate may be used as partial or full payment for the missed appointment.
7. Refunds
7.1. Refunds for cancelled appointments (within the cancellation period) will be processed within three business days.
7.2. Refunds will be made via the original payment method. Allow 5-7 business days for bank processing.
8. Code of Conduct
8.1. The Lymphatic Nurse provides only professional services by trained and qualified Practitioners/Therapists. The focus is on health, wellness, and treatment planning.
8.2. Client Expectations:
• Clients must wear underwear at all times, and strict draping protocols will be maintained for comfort and privacy.
• There is zero tolerance for physical, verbal, or sexual harassment. Any inappropriate behaviour will result in immediate termination of the session, and the client will be asked to leave the premises, or, the Practitioner will immediately leave the Client’s premises if carrying out a home visit appointment.
• Clients must not be under the influence of alcohol or illegal substances. If a client arrives intoxicated, they will be asked to leave, or the Practitioner will leave the Client’s premises if carrying out a home visit, and future bookings will not be permitted.
• Full payment will remain due if the appointment is cancelled due to the client’s unsatisfactory conduct.
• Clients are expected to attend appointments alone unless a carer is required. The Lymphatic Nurse does not have a waiting area for additional guests. If the carer will not be attending the clinic room with the client, they may be required to wait outside in their vehicle.
8.3. Special Considerations:
• Clients under the age of 16 must be accompanied by a responsible adult for the duration of their appointment.
• The Lymphatic Nurse will aim to accommodate any Clients who wish to attend the clinic with a service dog or small child, however they must call ahead before booking to ensure this can be accommodated.
8.4. Due to potential hazards and limited space within the clinic, babies/children will need to remain in their stroller or remain seated throughout the appointment. The Client will be entirely responsible for the safety of any children or animals brought to the appointment and agrees that no liability can be transferred to The Lymphatic Nurse if they choose to bring along a child or support pet. Alternative childcare arrangements are strongly encouraged where possible.
8.5. If at any point during the appointment The Lymphatic Nurse is concerned for the safety of a child, or the child’s or pet’s behaviour make it difficult for the treatment/therapy to be completed safely, or raise cause for concern, The Lymphatic Nurse reserves the right to terminate the appointment.
8.6. Full payment will remain due for the entire duration of the scheduled appointment if the appointment is terminated due to the client’s unsatisfactory conduct, safety concerns with the client or their carer, children or pets.
9. Environment and Wellness Commitment
9.1. The Lymphatic Nurse strives to maintain a relaxing and professional environment focused on health and wellbeing.
9.2. Due to the location of lymph nodes, areas in the groin and around the breasts may be exposed briefly and gently massaged as part of Manual Lymphatic Drainage massage. At no point will the genitals be touched or massaged. However, if a client has any concerns around the proximity of the lymph nodes to the genitals, they should make the Practitioner aware so these concerns can be discussed/accommodated and the treatment adapted to ensure comfort and eliminate any anxiety.
9.3. If during or post treatment, the Client feels unwell or has any concerns around their health, they agree to seek the appropriate medical advice or attention from their GP, local hospital or emergency services where appropriate.
